How do I book a meeting room?

There are two kinds of meeting room on Desana, and knowing which you are looking at tells you what to expect when you book:

  • Instant book rooms are confirmed straight away, as long as the room is free for your chosen date and time. There is no wait for the workspace to approve it. (See What are instant book meeting rooms?)

  • Request rooms send a booking request to the workspace, which accepts or rejects it based on availability.

You will see which one applies before you confirm: the button reads Book for instant book rooms and Request for rooms that need approval.

How to book

  1. Start exploring spaces and type in your preferred location.

  2. Select Meeting room and choose the number of attendees.

  3. Browse the listed workspaces and the individual rooms each one offers. Use the filters to narrow by amenities.

  4. Choose your room and select your date and time.

  5. Add your list of attendees if needed, then select Next to reach the confirmation screen.

  6. Read the cancellation policy, then select Accept and book (or Accept and request booking for a request room).

What happens next

For an instant book room, your booking is confirmed immediately.

For a request room, the request goes to the workspace to accept or reject based on availability. If it is accepted, you will receive confirmation of your booking. If it is rejected, a member of our team will be in touch to help (see My meeting room request has been rejected. What now?). Most workspaces respond quickly, and our Customer Support team monitors requests to make sure you get a response.

If your organization requires approval: your request is sent to your team's approver first, before it goes to the workspace.
