How much notice do I need to book a meeting room?

There is no single answer, and that is good news: each workspace sets its own notice period for each room, and plenty of rooms can be booked at short notice.

Every room shows its booking lead time

When you view a meeting room, you will see its Booking lead time: the minimum amount of notice that room requires. The booking form only offers times that respect it, so you will never accidentally book too close to the start time. Some rooms also show a Minimum duration, and some charge a fixed rate for all-day access.

Can I book for today or tomorrow?

Often, yes:

  • Instant book rooms are confirmed immediately when the room is available, with no workspace review, so short lead times really mean short. If a room's lead time allows it, you can book for the same day.

  • Request rooms need the workspace to accept your request, so even when the lead time technically allows a last-minute request, leave the workspace enough time to respond. For the difference between the two, see What's the difference between an instant book and a request meeting room?

How far ahead can I book?

Workspaces also control how far in advance their rooms can be booked, and this varies from space to space. If dates far in the future are not selectable for a particular room, that is the workspace's advance booking window at work.

Tips for short-notice bookings

  • Look for instant book rooms when you need something today or tomorrow. They skip the workspace approval step entirely.

  • If your organization requires internal approval, give your approver a heads-up so your booking is not left waiting.
