Can I edit a meeting room booking after it's confirmed?

Partly. Some things you can change yourself in the app, and for the rest, we are happy to help.

What you can edit in the app: attendees

You can update your booking's attendee list yourself, up to 24 hours before the booking starts:

  1. Open the booking from the Bookings section.

  2. Go to the attendees section and choose to edit.

  3. Add or remove colleagues, or add external guests by name (guests do not need a Desana account).

Once you are inside 24 hours, the list is locked for rooms that require attendee details, because the workspace uses it to prepare for your visit and manage building access. If you need a last-minute change to who is coming, message our Customer Support team and we will coordinate with the workspace.

What goes through support: date, time, and room

There is currently no self-serve way to change a confirmed booking's date, time, or room. You have two options:

  • Contact Customer Support via the in-app chat, and we will do our best to arrange the change with the workspace.

  • Cancel and rebook. Before you do, check your booking's cancellation policy on its detail page so you know whether the canceled booking is refundable. If you are still within your refund window, this is often the fastest route.

The same applies if your meeting runs long: you cannot extend a booking in place, but you can book the room for an additional slot if it is free.

Still waiting on approval? Withdraw and rebook

If your booking has not been confirmed yet (it is pending with your organization's approver or the workspace), you will not see a cancel option. Instead, you can withdraw it at any time with a full refund, then place a new booking with the details you actually want. It is the cleanest way to fix a mistake on a pending request.
