How do I book meeting rooms?

The steps taken to book meeting rooms differ slightly depending on whether you’re using the mobile or web app.

If using the Mobile App

Here is how to book meeting rooms.

  1. Tap Start Exploring Spaces button and type in your preferred location.

  2. Toggle Meeting Room on the left-hand icon under the search bar, and select the number of attendees.

  3. Browse through the listed workspaces. You’ll be able to view the individual rooms that each workspace offers. You can further narrow down results by tapping the icon under the search bar to filter by amenities.

  4. Once you’ve selected your preferred room, tap Request Meeting Room and select your required date and time.

  5. Add your list of attendees (if applicable), and then click Next to bring up the final confirmation screen.

  6. Ensure you read the cancellation policy, and then hit Accept and Send Request.

If using the Web App

  1. Click on Meeting Room and type in your preferred location.

  2. Select your preferred date and time, and the number of attendees. Your search results will then be narrowed down automatically. You can further filter results by clicking the Filters button to the right of the search bar.

  3. Select a preferred room, and then review the photos, listed amenities, and the date and time.

  4. Add your list of attendees (if applicable), and then click Next to bring up the final confirmation screen.

  5. Ensure you read the cancellation policy, and then hit Accept and Send Request.

How to book a meeting room with Desana - Web app

The request will then be sent through to the workspace that will accept or reject it based on their availability.

If the booking is accepted, you’ll receive a confirmation email. If you receive a rejection notification, then a member of our team will be in touch to assist (for more information about rejected meeting room requests, please head to My meeting room request has been rejected. What now?

Most workspaces respond to requests quickly, but please be assured that our Customer Support team monitors these to ensure that a response is received.

Important: if your organisation requires approval for meeting room requests, this will be sent to an approver before being sent to the workspace.
