Every booking you make through Desana (a hot desk, a meeting room, or a private day office) has a status that tells you exactly where it is in its journey. You can see it on the Bookings screen, which is organized into Upcoming, Pending, and Past tabs. Here is what each status means and what, if anything, you need to do.
Pending approver confirmation
Pending approver confirmation
Your organization requires an internal approver to sign off on this booking, and they have not responded yet. Your chosen approver has been notified.
What to do: Usually nothing, just give them a moment. If it is time-sensitive, a friendly nudge to your approver goes a long way. You can also withdraw the booking if your plans change.
With operator for approval
With operator for approval
Your organization's side is done (or was not required), and your request is now with the workspace's team, who will accept or reject it. This step only applies to rooms and offices that are not instant book.
What to do: Nothing. The workspace typically responds quickly. You can withdraw the request with a full refund at any point before they accept.
Confirmed
Confirmed
You are all set. The booking is locked in, and you will find everything you need (directions, access details, Wi-Fi closer to the start time) on the booking's detail page.
What to do: Show up and enjoy. If your plans change, cancel as early as you can. The booking's cancellation policy is shown on its detail page.
Declined by approver
Declined by approver
Your organization's approver turned down the booking. You will always see the reason they gave, and you will not be charged: anything already deducted is fully refunded.
What to do: Check the reason on the booking. If it was a timing or budget issue, adjust and rebook, or talk to your approver.
Rejected by operator
Rejected by operator
The workspace was not able to accommodate your request, often because the room was taken by another booking or the space could not host it at that time. The reason is always shown, and you are fully refunded.
What to do: Search for an alternative room or time and place a new booking.
Withdrawn
Withdrawn
You pulled back a booking that was still pending (waiting on your approver or the workspace) before it was approved. Withdrawing a pending booking always comes with a full refund.
What to do: Nothing. If you still need the space, just place a new booking.
Canceled
Canceled
You canceled a booking that had already been confirmed. It appears in-app with the Cancelled badge. Whether it was refunded depends on the booking's cancellation policy, which you accepted at the time of booking.
What to do: Nothing. Rebook whenever you are ready.
Reservation expired (revoked)
Reservation expired (revoked)
This one is specific to instant book rooms that also needed your organization's approval. Desana reserved the room while waiting for your approver, but the reservation window ran out before they responded. Your approver can still approve it afterward: if the room is still available it will be confirmed, and if not you will be fully refunded.
What to do: Nudge your approver, or withdraw and rebook.

Declined, rejected, withdrawn, and canceled bookings are hidden from your upcoming list by default. Flip on Show cancelled, withdrawn and rejected bookings on the Bookings screen to see them.
