What does this integration do?
Desana seamlessly integrates with your organization's Google Workspace resources in order to create a two way sync between your Google Workspace resource calendars and your meeting rooms listed in the Desana platform. This enables your teams to book your meeting rooms directly from Desana.
Assumptions
You already have resources set up within your Google Workspace
Your Account Manager has already set up your meeting rooms in Desana
1. Create a dedicated account in Google Workspace which will be the account linked to Desana
Due to the fact that individual members of your team may leave your organization, we recommend setting up a Google Workspace account which doesn't belong to any one individual (and therefore cannot be deleted), but which acts as an account which serves this single use case (also known as a "service account").
For instance, an account such as [email protected] would work well.
Refer to the instructions on Google's support pages to learn how to do this.
Once this account has been created, within your Desana admin dashboard, add this service account as an admin with at least the ability to edit your organization's details.
2. Sign into both Desana and Google Workspace with the service account
As mentioned, in order to protect the integrity of the connection between Google Workspace and Desana, sign into your service account on both Google Workspace and Desana.
Ensure that on Desana's side, the service account has at least the ability to edit your organization's details.
3. Connect your resources in Google with your resources in Desana
🚨 Ensure you're signed into Desana using your service account before continuing!
Once you're signed into the Desana admin dashboard using your service account, head to the menu and select "Integrations".
From here, click "Enable" on the Google Calendar integration. Ensure you complete the Google sign in flow using your service account.
Once you're signed in and have successfully authorized Desana to access your Google Workspace resource information, you'll be redirected back to Desana and you'll be able to link your resources listed in Desana with your Google Workspace resources.
Please ensure that this is done correctly before continuing!
Once the connections have been made, your organization's Google Workspace calendars will begin to sync their availability through to Desana.

Making changes to any connections
If you need to make changes to any of your resources or the connections between Desana and Google Workspace, please contact your Desana Account Manager and they'll be able to help you.
Data privacy and security
We take data privacy and security very seriously at Desana. We are both ISO 27001 (which deals with our Information Security Management System) and ISO 27701 (which deals with our Privacy Information Management System) accredited, which shows our commitment to the levels we go to protect and safeguard your organization's data and your team's personally identifiable information.
We do not store your organization's calendar event information beyond the effective free/busy information held against an event. We never transfer any of your organization's calendar event information to third parties.
We adhere to the Google API Services User Data Policy, including the Limited Use requirements.
