How Desana integrates with Google Calendar

Desana integrates with Google Calendar to allow our users to create meeting room bookings directly in your system for times which are definitely available. No more booking requests or being double booked!

Getting started

  1. Within your Google Workspace, head to ‘Manage resources’. This will show you a list of all your resources.

  2. For the resource you’d like to share with Desana, click into the resource’s details and in a spreadsheet make a note of:

    1. The name of the resource

    2. The building the resource belongs to

    3. The ‘Resource email’

  3. Grant access to Desana to read and write events to the calendar by navigating to the resource’s calendar.

    1. Click the dropdown under ‘Other calendars’

    2. Click on ‘Browse resources’

    3. Click on the checkbox next to the name of the resource

    4. Under ‘Settings for my calendars’, click on the name of the resource

    5. Scroll down to ‘Share with specific people or groups’

    6. Click ‘Add people and groups’

    7. Set [email protected] as the email address

    8. Under ‘Permission’, select ‘Make changes to events’

  4. Repeat steps 3 and 4 for each resource you want to integrate with Desana.

  5. Once all the resources have been added to the spreadsheet please share it with the Desana Operator Relationships team at [email protected]


Frequently Asked Questions

Which information is shared with Desana from our Google Calendar?

Due to the way Google Calendar’s permissions work, in order to be able to create and update events in your calendars, we are also able to read all the information in your calendars. We only store the date and time of each calendar event as part of our core offering. From time to time, we may be required to diagnose Google Calendar syncing issues which may mean we need to view all calendar events pushed to us from Google Calendar.

It is important to note that Personally Identifiable Information (PII) will be made available to us.

We take data privacy and information security very seriously and we understand that any integration which deals with personally identifiable information (PII) requires the highest standards of data privacy and information security. As such, we are proud to say that we are the only business in our category with an ISO 27001 and an ISO 27701 certification.

This goes above and beyond the more common SOC Type II standard. It is also what allows us to work with some of the largest companies in the world (Desana is only B2B).

If I need to create/update/cancel a booking for a Desana user, how should I do that?

Please contact our dedicated workspace operator support team via your Desana operator dashboard and they'll assist you.

🚨 Please do not create, update or cancel bookings on behalf of Desana users directly from Google Calendar. We will not receive these updates and you may not be paid for any bookings created.
